Williamson Fine Teas Ltd (“we”, “us”, “our”) is responsible for personal data collected through this online shop. You can contact us at customerservice@williamsontea.com or The Old Vicarage, Shepton Montague, Nr Wincanton, Somerset BA9 8JE.

Information we collect and why

  • Orders and checkout: your name, contact details, billing and delivery addresses, items ordered, order notes, payment status and delivery information. We use these to take payment, fulfil your order, arrange delivery, handle returns and provide support. Our lawful bases are performance of a contract and, where relevant, legal obligations such as tax and accounting.
  • Payments: Stripe and PayPal process payments when you choose those methods. They handle payment credentials and fraud checks; we receive transaction references, payment status and information needed to manage the order. We do not normally store full payment card numbers on this shop.
  • Customer accounts: your email address, account details, protected password and order history so you can sign in and manage purchases. We use this to provide the account and for our legitimate interest in supporting customers.
  • Enquiries, reviews and returns: your contact details, messages and relevant order information so we can respond, resolve problems and manage returns. We rely on the contract or our legitimate interest in customer service.
  • Newsletter and offers: your email address and preferences if you sign up. We rely on consent where required for marketing emails. You can unsubscribe using the link in any email.
  • Shop security and operation: technical information such as IP address, device, browser and access logs to operate, protect and troubleshoot the shop and prevent fraud. We rely on our legitimate interest in maintaining a secure service and, where applicable, legal obligations.
  • Optional analytics: information about visits and interactions collected by Google Analytics and Hotjar if you allow analytics cookies. We use this to improve the shop and rely on your consent for optional tracking.
  • Optional advertising measurement: information about visits, campaigns and orders collected through Meta, Google advertising tools, PixelYourSite and WooCommerce order attribution if you allow marketing cookies. We rely on your consent for optional tracking.

Some pages may display videos or other content from providers such as YouTube and Vimeo. Those providers may receive technical information when their content loads.

Who receives your information

We use service providers to host, secure and operate the shop, process payments, deliver orders and send communications. These include Kinsta, Cloudflare, Wordfence, WooCommerce, Stripe, PayPal, delivery providers and email services such as Mailchimp. If you allow optional tracking, relevant information may also be received by Google, Hotjar and Meta. Providers receive information for the service they perform. We may also disclose information when required by law or to protect our legal rights.

Some providers process data outside the UK. Where required, we use appropriate safeguards for international transfers, such as applicable adequacy decisions or approved contractual protections. You can contact us for details relevant to your information.

How long we keep information

We keep order records for fulfilment, customer service, tax, accounting and legal purposes, and review them against those needs. The shop does not currently have a fixed automatic deletion period for completed orders. Account details remain while the account is in use or needed for those purposes. Newsletter details remain until you unsubscribe or we no longer need them. Security, analytics and advertising data is retained according to the settings and retention periods of the relevant service. You can ask us about a specific record.

Your choices and rights

You can change or withdraw optional tracking consent at any time through Cookie settings. Read our Cookie Policy for more information. Withdrawing consent does not affect processing carried out before withdrawal.

Depending on the circumstances, you may ask to access, correct or erase your personal data, restrict or object to its use, or receive a portable copy. You can also withdraw consent where we rely on it. Send requests to customerservice@williamsontea.com. We may need to confirm your identity before responding. We may need to keep some order information where law requires it.

If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office. We would welcome the chance to address your concern first.
